  • Summary:
    The Parts Manager will be responsible for the day-to-day operation of the Branch's Parts Department in compliance with the company's established policies and procedures. This position effectively manages and directs all aspects of the Parts Department's operations in a manner that ensures maximum benefit to the dealership. The Parts Manager also co-ordinates activities and co-operates with other dealership departments to best serve the customer. Further responsibilities include planning, directing and controlling all activities within the Parts Department to ensure that overall profitability and growth objectives are met or exceeded. This position is also responsible for the parts department's overall performance and profitability, and maintaining the highest level of customer service and professionalism in serving our customers' needs.
    • Build the organization by establishing parts department policies and procedures to develop:
      • The skill and knowledge of all parts department personnel
      • Good attitudes and pride in individual and overall dealership appearance
      • Full utilization of automated inventory control system
      • Continual interaction with all departmental personnel
    • Develop sales and gross profits by:
      • Establishing realistic sales objectives
      • Encouraging aggressive marketing by all parts department employees;
      • Effective merchandising and advertising methods within budget allocation, including taking advantage of all manufacturers' inventory co-op advertising;
      • Establishing a competitive parts pricing policy while maximizing profitability;
      • Ensuring customer satisfaction by maintaining an efficient and effective level of service and handling customer complaints immediately and according to the dealership's guidelines
      • Working with the service manager and body shop manager to ensure a timely turnaround of parts needed for internal jobs;
      • Analyzing sales, expenses and inventory monthly to maintain profit goals;
      • Developing and utilizing a lost sales tracking report;
      • Monitoring daily reports such as DOE, DOC, and sales productivity.
      • Understanding, keeping abreast of and complying with federal, provincial, and local regulations that may affect parts sales
    • Controlling costs by:
      • Preparing and administering an annual operating budget for the parts department
      • Ensuring the company receives full value for time and materials purchased
      • Obtaining competitive bids and purchasing supplies only when necessary
      • Becoming aware of and reacting accordingly to all practices that waste supplies, time or material
      • Controlling the inventory investment according to turn rate and level of obsolescence, consistent with the requirements of the service department, body shop, wholesale accounts and the do-it-yourself public.
      • Continually striving to improve existing practices
      • Making a focused effort towards problem solving rather than complacency;
      • Utilizing space efficiently
      • Creation of checks and balances in all areas of the department including purchasing, shipping, receiving and safety
      • Developing and maintaining rules and regulations to prevent internal or external pilferage
      • Ensuring that all parts are properly tagged so that the dealership recovers full credit from the factory
      • Ensuring that all dealership purchases are properly accounted for before payment is made
      • Analyzing departmental operations and storage layout and revising as needed for maximum effectiveness.
    • Ensuring the safety of all employees by:
      • Enforcing safety requirements, including but not limited to forklift training and operation, processing of MSDS sheets on all products carried, and ensuring that WHMIS and TDG training is provided.
      • Becoming familiar with and complying with the company's Health & Safety Manual, WorkSafe BC (Canada) or OSHA (US) regulations.
    • Maintaining the company's parts vehicles by:
      • Ensuring that the vehicles are in good, safe running order
      • Ensuring that regular maintenance service is performed on the vehicles and that maintenance records are kept

    Supervisory Responsibilities:
    • Hiring, training, motivating, counseling and monitoring the performance of all parts department staff by:
      • Ensuring every employee has a thorough understanding of his or her duties and responsibilities
      • Providing programs to ensure the rise in productivity of each employee benefiting both the company and the individual
      • Effectively cross training to ensure there is a minimum of one qualified person to fill in each specific job position including the Parts Manager's position
      • Leading by example and displaying professional and ethical conduct at all times
      • Holding weekly department meetings
      • Monitoring parts department employees' payroll records
      • Supervises custodians to ensure that the work area is kept clean
      • Directing outside parts and counter sales efforts, including a telemarketing program to keep in contact with customers
      • Directing shipping and receiving efforts to ensure timely processing
      • May sometimes be required to perform the duties of the parts department staff
  • Requirements:
    • High school diploma or general education degree (GED) essential
    • Qualification as a Journeyperson preferred
    • Post-secondary diploma in a related field preferred
    • Three years related experience and/or training
    • Ability to read, analyze and interpret financial reports
    • Valid Class 5 Driver's License
    • Forklift Certification
    • Strong leadership skills
    • Excellent customer relations skills
