Overview
We are looking for an Administrative Coordinator to provide dedicated, proactive administrative coordination support to Directors within Prevention Services at WorkSafeBC. Reporting to the Manager, Divisional Planning & Coordination, the role acts as a trusted partner to leadership, enabling Directors to focus on strategic, operational, and people‑leadership priorities.
In this role, you'll handle confidential and sensitive information with discretion and professionalism, apply sound judgment, and manage multiple priorities with accuracy and consistency. The Administrative Coordinator anticipates leadership needs, coordinates calendars, governance activities, and workflows, and ensures smooth execution of key administrative processes. Working closely with other Administrative Coordinators, the position supports divisional consistency, shared best practices, and reliable coverage.

What you'll do
- Manage complex calendars for directors including meetings, travel, and priorities
- Track, follow up, and report on action items assigned to directors and leadership teams
- Record, organize and prepare complex and confidential documents
- Compose written responses, memos, minutes, presentations, and communications from both verbal and printed sources
- Manage appointments, meetings, conferences and team events, meeting room bookings, PowerPoint presentations, speaking notes, agendas, and catering.
- Coordinate travel arrangements and process expense claims and invoices
- Review and submit required forms and financial documentation in accordance with corporate processes
- Coordinate onboarding and offboarding processes, including equipment, system access, schedules, and orientation activities
- Support special projects, events, and initiatives as assigned by the Manager, Divisional Planning & Coordination
- Support governance forums, committees, and recurring leadership cycles
- Maintain accurate and current organizational charts for assigned portfolios
- Draft and proofread emails and correspondence

- Identify opportunities to improve systems and processes; recommend solutions and refer issues as appropriate
- Problem-solve proficiently, demonstrating initiative and resourcefulness
Your background and experience
- Completion of grade 12 and post-secondary education in Business or Business Administration is preferred
- 3-5 years of related work experience in an administrative role supporting senior management and/or Director level operations
- Strong working knowledge of Microsoft office applications
- Other equivalencies may be considered
